Cost savings with better data in the field

The ARC Advisory Group talks about the process to manage the volume of data as well as making the process of verifying data easier to manage; noting that between 20% and 30% of maintenance costs could be saved with better information in the field.

White Paper and Data Guide

Clients increasing demand for the ‘digital asset’ has led to big challenges for EPC contractors on how vendor data is collected and validated. Industry leaders have recognized that the key to meeting these challenges is to empower projects with the right tools – solutions that allow multi-party communication, effective global collaboration and efficient use of new technologies to build intelligent, complete and correct data sets.

One of those solutions is a collaborative Cloud environment as it provides a platform that is accessible by everyone working on a project wherever they’re located. It also provides a single, reliable collection repository for critical data to be captured, consolidated and validated from the many vendor sources located globally.

Going are the days where projects roll out Excel spreadsheets, Access database, dropbox and client portals. Not only are they difficult to manage they are open to manipulation which destroys management of change. Worst of all they have no inbuilt workflow and go through very long manual review cycles.

AssetNet, a globally deployed engineering data collection provider offers an advanced cloud data environment for industry. A secure URL supplies access to the service with minimal end-user local computing footprint and unlimited storage capacity. AssetNet Cloud provides a single, unified, and secure web based environment which can contain many projects and user communities. Project teams can take advantage of the fit for purpose technology with multi-project collaboration, standardization, enabling of global resources, and integration into 3rd party systems.

AssetNet supports client objectives to reduce CAPEX costs and shorten project schedules. All parties involved can collaborate on a singular platform and share a consistent, common view of all engineering asset data. With data silos effectively removed, greater efficiency is achieved and both project and operational risks are reduced.

The solution enables ISO 15926 which is a standard for data integration, sharing, exchange, and hand-over between systems and ISO 14224 on the collection of data for the management and maintenance of equipment including reliability data. Information management standards are applied across all projects which results in a much higher quality output of data. Clients and projects benefit from optimized business processes, in built workflow, onboard consolidation and validation, improved spare parts collection and Hazardous Area equipment identification.

AssetNet’s long term use across multiple projects allows clients to build an equipment data library which enables re-use of vendor data when purchasing the same equipment from common Vendors. This re-use of asset data expedites the data collection process and reduces the burden on Vendors to continually having to supply the same asset data across multiple projects. This data library has immense value for clients on future projects.

When collecting the vast amounts of data across hundreds of vendors globally the need to streamline the review and approval process is paramount. The submission process from the vendor to the EPC contractor through to the client is not only onerous but takes a significant amount of valuable validation time. Data is just sitting in limbo for more than 50% of its lifetime. When entering via the cloud, vendor data is available in real time for checking, review, validation and infill by the engineering team. AssetNet has a powerful workflow management tool for serial and parallel review and approval of data, check in check out, colour coding, comments, real time validation and real time reporting on vendor progress.

The ability to report out on vendor progress is critical to the success of Vendor data collection. Many Vendors struggle with the document and data deliverables side of equipment supply and clients are often kept in the dark as to where Vendors are at in any given time. With the AssetNet tool, clients are kept up to date on the submission progress including; correctness and completeness, how priority packages are tracking, the number of packages in the review stage, at which revision by whom and the number of tags submitted across systems and disciplines.

When looking at an asset data Tool AssetNet is part of the overall solution set to cover requirements for the client team including; Operability, Reliability and Maintenance, the Data Warehouse, Spare Parts collection, Systems Integration Testing and more.

AssetNet data collection service includes; equipment tags and data, spare parts and data, equipment in explosive and hazardous areas or the EEHA EX register, the fluid schedule, the rotating equipment list, pressure safety valve list, cable schedule, instrument list, the hose register and more. AssetNet deploys separate templates to vendors to collect and review at the client’s discretion. The consolidation database can be used for further enrichment processes for operations.

As a guide to the amount of data collected on an MCP which is required by the the operations maintenance team we can use the project numbers as below as a guide:

Upstream: Large Offshore Platform, Subsea Equipment, Trunkline.

150 vendor packages, 100,000 tags, 40,000 maintainable items based on (SERIP Mode C), 2.7million individual cells checked and validated.

Downstream: 2 x train processing plant, material offloading facility, camp, pipeline, infrastructure

220 Vendor Packages, 225,000 Tags, 100,000 maintainable items based on (SERIP Mode C), 6.75million individual cells checked and validated

Spare Parts: 365 vendor packages, 132,000 maintainable items requiring consumables and spare parts data.

EX Register: 25,000 instrument and electrical tags which require an EX register for hazardous area classification, IS barriers, certificates and ratings.

From the above AssetNet can extract system reports, hose registers, fixed asset registers, fluid registers, PSV registers and many more depending on the client requirements.

The timing of critical asset data is paramount for hook up and commissioning ITR’s and operations teams to kick off data enrichment for maintenance and operator routines.

As an industry standard the amount of data collected on MCP’s globally by RFSU (ready for start-up) is less than 60%. Clients are engaging carry-over working teams to retrieve Asset Data for up to 2 years post completion - this is not uncommon. A lack of understanding and industry knowledge from projects, IT departments or Document Control personnel who are placed into the role of Information Management compounds the problem.

By utilising a company with industry expertise, a flexible delivery model and a fit for purpose data collection system, IM&T and Engineering teams can incorporate ISO best practice, reduce the burden on vendors, reduce their personnel and infrastructure requirements and increase turnaround times. The goal is to increase the volume of required data collected from an industry average of less than 60% to more than 90% complete by ready for start-up (RFSU).
